1. Appointment Cancellation Policy

We understand that sometimes you need to cancel or reschedule your appointment. To be fair to all patients and our practitioners, we have the following cancellation policy:

24+ Hours Notice

Free Cancellation

Full refund or free rescheduling when cancelled 24 hours or more before appointment.

4-24 Hours Notice

50% Fee

50% cancellation fee applied. Remaining amount refunded or credited.

Less than 4 Hours / No-Show

No Refund

Full appointment fee charged. No refund for late cancellations or no-shows.

2. Refund Policy

Our refund policy is designed to be fair to both patients and our practice. Below are the guidelines for different types of services and payments:

Consultation Fees
  • Full refund if cancelled 24+ hours in advance
  • 50% refund if cancelled 4-24 hours in advance
  • No refund for cancellations within 4 hours or no-shows
  • Refunds processed within 5-7 business days
Treatment Packages
  • Pro-rated refund for unused sessions
  • Administrative fee of 10% may apply
  • Refund based on single session rate, not package rate
  • 14-day cooling off period for new packages
Panchakarma Programs
  • 50% refund if cancelled 7+ days before start date
  • 25% refund if cancelled 3-7 days before start date
  • No refund if cancelled within 72 hours of start date
  • Medical emergencies considered case-by-case
Herbal Medicines & Products
  • Unopened products: Full refund within 30 days
  • Opened products: No refund for hygiene reasons
  • Custom formulations: No refund once prepared
  • Defective products: Immediate replacement

3. Refund Process & Timeline

We strive to process refunds quickly and efficiently. Here's what you can expect:

Our team reviews request within 24-48 hours and approves eligible refunds.

Refund processed through original payment method within 3-5 business days.

Refund appears in your account within 5-10 business days depending on your bank.

Important Note:

The timeline for refunds to appear in your account may vary depending on your bank or payment provider. Credit card refunds typically take 5-7 business days, while bank transfers may take 7-10 business days.

4. Emergency Exceptions

We understand that genuine emergencies happen. In such cases, we may make exceptions to our standard cancellation policy:

Considered Emergencies
  • Documented medical emergencies
  • Hospitalization of patient or immediate family
  • Bereavement of immediate family member
  • Severe weather conditions preventing travel
  • Public transportation strikes or major disruptions
Required Documentation
  • Medical certificate for health emergencies
  • Death certificate for bereavement cases
  • Official documentation for weather/travel issues
  • Police report for accidents or incidents
Emergency Request Process:

Contact us as soon as possible in case of emergency. Provide supporting documentation within 7 days. Emergency exceptions are reviewed case-by-case and granted at our discretion.

5. Rescheduling Policy

We understand that sometimes you need to change your appointment time. Our rescheduling policy is more flexible than our cancellation policy:

Free rescheduling to any available slot

No Fee
4-24 Hours Notice

One-time free rescheduling per 6 months

Limited Free
Rescheduling Guidelines:
  • Rescheduled appointments must be within 30 days of original appointment
  • Same practitioner availability not guaranteed for rescheduled appointments
  • Multiple reschedules may require rebooking as new appointment
  • Package sessions must be completed within package validity period

6. Late Arrival Policy

To ensure all patients receive the attention and care they deserve, we have the following policy for late arrivals:

7. Practitioner Cancellations

In the rare event that we need to cancel your appointment due to practitioner unavailability or other clinic reasons:

Priority Rescheduling

We will help you reschedule at your earliest convenience with priority booking.

Compensation

For last-minute cancellations by us, we may offer discounts on future services.

Advance Notice

We will provide as much advance notice as possible, typically 24+ hours.

Alternative Practitioner

When possible, we will offer appointment with another qualified practitioner.
